Help Scout alternative
TriageFlow vs Help Scout
Help Scout pioneered the email-feels-like-email help desk. TriageFlow is the AI-first take on the same idea: shared inbox, drop the per-seat math, make AI the default. Here's the honest comparison.
Pricing data verified May 2026 against the public pricing pages of both products.
The 30-second verdict
Choose TriageFlow if…
- •You like Help Scout's email-feels-like-email approach but want AI working by default, not as a paid add-on.
- •You're growing past 6–8 people and don't want to keep paying $50–$75 per new hire.
- •You don't need a public knowledge base (Help Scout Docs) — or you already have one elsewhere.
- •You want flat pricing and unlimited users.
Choose Help Scout if…
- •You want a built-in customer-facing knowledge base (Docs) on day one.
- •You need Beacon — an embeddable chat & help widget for your website or product.
- •Your team is small (2–5 people) and Help Scout's per-user math actually works out fine.
- •You want a 15+ year track record with a deeply established brand reputation.
Both are good products. The right answer is the one that fits how your team actually works.
Pricing
What you'll actually pay
Help Scout charges per user. TriageFlow charges a flat monthly fee with unlimited users. Here's what that looks like for typical team sizes.
| Team size | Help Scout Standard ($25/user/mo) | Help Scout Plus ($50/user/mo) | TriageFlow (plan depends on volume*) |
|---|---|---|---|
| 5 people | $125/mo limited AI (Plus+ for AI Assist) |
$250/mo AI Assist included |
$49/mo Standard plan, AI included |
| 10 people | $250/mo limited AI (Plus+ for AI Assist) |
$500/mo AI Assist included |
$49/mo Standard plan, AI included |
| 20 people | $500/mo limited AI (Plus+ for AI Assist) |
$1,000/mo AI Assist included |
$199/mo Premium plan, AI included |
| 30 people | Not available (Standard capped at 25 users) | $1,500/mo AI Assist included |
$199/mo Premium plan, AI included |
Help Scout prices billed annually, per user, from helpscout.com/pricing (May 2026). AI Assist (drafts, summarize, expand) is included on Plus and Pro; on Standard, AI features are limited or excluded. *TriageFlow plan choice is by email volume, not team size: Standard ($49/mo) covers 500 emails, Premium ($199/mo) covers 2,500, Enterprise ($1,499/mo) covers 25,000. AI is included on every tier — pick the plan that matches your inbound volume. Full pricing.
Why the gap? Help Scout's Standard tier is cheap precisely because it doesn't include AI Assist — for AI parity you need Plus at $50/user/mo. A 5-person team on Plus: $250/mo; TriageFlow Standard: $49/mo. The gap is ~5× on day one and grows from there ($1,500 vs $199 at 30 people). Pricing flat works for us because AI does most of the per-message work — volume drives our cost, not headcount.
Where Help Scout is fairer: for very small teams (2–4 people) on Standard who are happy without rich AI, Help Scout is cheaper. And if you genuinely need a public knowledge base or an embedded chat widget, Help Scout has both built in — we don't.

Where TriageFlow is the better pick
Predictable cost as you grow
Help Scout Plus at 20 users is $1,000/mo. TriageFlow stays at $199/mo. The savings start small and compound with every hire.
AI on Standard, not just Plus
Help Scout's AI Assist is gated behind Plus and Pro. With TriageFlow, the same draft-and-summarize capabilities work on every tier — including the entry plan.
No user cap surprises
Help Scout Standard caps at 25 users; growing past that forces an upgrade to Plus and a 2x price jump. TriageFlow has no user cap on any plan.
Where Help Scout is the better pick
Help Scout has a 15+ year head start on parts we don't try to match.
Public knowledge base (Docs)
Help Scout Docs lets you publish a clean, branded help center without buying a separate tool. We don't have anything like it.
Beacon (in-product help widget)
Drop-in widget that surfaces docs, lets users start chats, and submits emails — tightly integrated with the inbox. We don't ship a widget.
Mature CSAT & reporting
Built-in customer satisfaction surveys, happiness ratings, and reporting that's been refined over years of CX use. We're newer.
Three teams, three answers
Scenario 1
A 10-person SaaS support team on Help Scout Plus
Pays $500/mo. Uses the inbox heavily; rarely touches Docs because their main knowledge base is in Notion. AI Assist drafts most replies.
→ TriageFlow. $199/mo flat, AI included — no Docs, but they don't use it anyway.
Scenario 2
A 4-person product team running their own help center + Beacon widget
Docs is core to their support strategy. The Beacon widget on the marketing site captures most leads. Standard at $100/mo works well.
→ Help Scout. The Docs + Beacon combo is exactly what they're paying for.
Scenario 3
A 15-person agency growing to 25
Email-driven client work. About to hit Standard's 25-user cap, so the upgrade to Plus is a 2x price jump no matter what.
→ TriageFlow. Flat fee removes the cap problem entirely.
Frequently asked
Does TriageFlow have a knowledge base like Help Scout Docs?
No. If a public, customer-facing help center is part of your support strategy, Help Scout Docs is a real reason to stay. Most teams we talk to either use a different tool (Notion, GitBook, Intercom Articles) or don't have a public KB at all — in which case the absence isn't a blocker.
Can TriageFlow import from Help Scout?
Most of what matters — your email history — lives in Gmail or Microsoft 365 already, so it stays. Migration is mostly recreating workflows and tags. Get in touch and we'll help.
Does TriageFlow really include AI on every plan?
Yes. AI triage, draft replies, and thread summaries work on Standard, Premium, and Enterprise. Higher tiers cover more email volume, not more AI features.
Is Help Scout a bad product?
No, it's one of the best in its category and the reason this category exists. We're a different generation: AI-first, no per-seat math, no public KB. If those tradeoffs match what you need, we're the better pick. If not, Help Scout is excellent.
